Program Manager, Venture Café Foundation

We are a dynamic non-profit startup working at the intersection of entrepreneurship and innovation, and we are seeking a Program Manager for the Venture Café Foundation. Reporting to the Director of District Hall & Roxbury Innovation Center, two highly visible and active gathering places specifically designed for the innovation community. This is a one-of-a-kind opportunity to enhance the impact of a mission-driven not-for-profit and event space as part of a small and effective team. This team member will assist in all aspects of creating and managing programming events that support early-stage entrepreneurs and aspiring entrepreneurs.

ESSENTIAL RESPONSIBILITIES:

For each of the programs within the Program Manager’s scope, s/he will be expected to do the following:

  • Manage all aspects of planning and executing programs. This includes annual planning, schedule of activities, speaker & subject matter expert recruitment, stakeholder engagement & management, onsite and day-of management of each program and program reporting.
  • Track programs against plan and report status to Director on a regular basis.
  • Collaborate with marketing to ensure programs are promoted in a timely and effective manner.
  • Collaborate with the Program Managers and Marketing Managers across the Venture Café Foundation to align and coordinate cross-site programming that benefits the entrepreneur community.

THE SCOPE:

  • District Hall Cafe Night – Café Nights are our signature quarterly themed event series focused on topics of interest for the entrepreneurship/innovation community.
  • Entrepreneur/Small Business Workshops – Organize curated workshops on key startup topics.
  • Business Clinics – Organize 3 to 4-week clinics on specific topics related to the early stages of starting a business.
  • Business Development Programs – Work with an outside partner to host the Business Development Program that allows a cohort of students to work week by week on various business planning components. The curriculum and duration of the program is currently being determined.

OTHER:

  • Appreciation and understanding of urban challenges (i.e. income inequality and unequal access to opportunity) and embrace them as opportunities for change using innovation focused economic development. Therefore, this role will spend time both at the Roxbury Innovation Center and District Hall Boston.
  • Capture and work with the Starthub Program Manager and Head of Partnerships and Philanthropy to develop and share stories from our programs with the broader public to support & increase grant-funding.
  • Support execution of newsletter creation in conjunction with Marketing & Community Outreach Co-Op
  • Identify and develop opportunities for new programming
  • Conduct community outreach to identify new partner agencies for specific program areas
  • Develop and coordinate program partners
  • Work with the rest of the team as necessary to support event staffing, where applicable
  • Support and assist broader Program Management team with further development of: Entrepreneur One on Ones, Office Hours, Community Coffees, Entrepreneur Mixers

QUALIFICATIONS:

  • A minimum of 3-5 years of work experience is required include the following knowledge, skills, and abilities:

KNOWLEDGE:

  • Bachelor’s Degree
  • Program management, and project management principles.
  • Familiarity with Greater Boston’s small business, entrepreneurship, and innovation ecosystem.

SKILLS:

  • Exceptional organizational, project management, and time-management skills.
  • Making effective and timely decisions.
  • Creative problem-solving.
  • Engaging external stakeholders professionally and consistently.

PART-TIME EVENT STAFF ROLE

Do you enjoy details, juggling lots of moving pieces, interacting with a wide range of people, thinking on your feet, and creating exciting reasons for people to come together? Are you motivated, a hard worker and looking to set your own hours? If so, this could be a great opportunity for you!

District Hall and the Roxbury Innovation Center are looking for Part-time Event Staff to help support the events team. The schedule is part-time and flexible based on your availability and our event volume. General hours are after 5 PM on weekdays and anytime on weekends, roughly 5-10 hours per week, at either the District Hall or Roxbury Innovation Center location. Shifts will be scheduled for two or more weeks in advance. The compensation is $15 per hour.

ABOUT DISTRICT HALL AND ROXBURY INNOVATION CENTER EVENTS:

Events play a critical role in our community by providing entrepreneurs, innovators, and others with an outlet to collaborate and network with peers.  The various events provide skills, knowledge, and resources and include programming meetups, pitching exercises, non-profit fundraisers, panel discussions, sector-specific collaborations, and hackathons, among others. Every month, District Hall + RIC host 100+ events spread in our space.

THE IDEAL CANDIDATE

Overall, we like to employ service-minded people who are reliable, clever, and able to work independently. It’s not expected that you’ll know everything that we do on day one. What’s important is that you are a bright person, interested in what we’re doing, and willing to learn. More specifically, we are looking for someone who possesses the following characteristics:

RESPONSIBILITIES

This person will join our Events teams to help facilitate more than 100+ events every month. Responsibilities may include, but are not limited to:

  • Rearranging furniture and setting up/breaking down spaces before and after each event
  • Maintaining and organizing event spaces; making sure the whiteboards are cleaned before and after each event, making sure the cabinets are stocked with our standard adapters, cables, and other necessities.
  • Inventorying event furniture and equipment
  • Cleaning up after the event (for example, putting leftover catering trays in the kitchen, recycling leftover printed materials, wiping down surfaces, etc)
  • Helping the event host with welcoming guests, setting up catering, or other small tasks
  • Keeping an eye on the timing of the event to ensure the event starts/ends on time
  • Receiving furniture rental deliveries and breaking down furniture rentals at the end of the event to prepare for pickup
  • Being aware of misconduct and misuse of the space and/or District Hall materials
  • Being present in or adjacent to the event space during the event to quickly help troubleshoot or assist the client with any other event needs
  • Strong communication with Event team members about issues before, during, or after the event
  • Conducting other administrative or research projects as requested by during the actual event time

REQUIREMENTS

The ideal candidate will demonstrate these traits:

  • Ability to lift and move up to 35 pounds and also push or pull heavy objects (please note that this job requires walking, standing, sitting, bending, stooping, and reaching)
  • Ability to work on Saturdays and Sundays, and Weekday evenings

Operations coordinator, roxbury innovation center + District Hall

Venture Cafe Foundation Operations Coordinator for our District Hall + The Roxbury Innovation Center Spaces

District Hall and the Roxbury Innovation Center are looking for an Operations Coordinator. We are a dynamic non-profit startup working at the intersection of entrepreneurship and innovation, and we are seeking an Operations Coordinator. Reporting to the Director of District Hall & Roxbury Innovation Center, you’ll help to manage the daily operations of two highly visible and active gathering places specifically designed for the innovation community.

RESPONSIBILITIES

Responsibilities may include, but are not limited to:

  • Data Analysis & Decision Support 
      • Critical reporting & analysis of event space data based on historical events from Tripleseat Event Booking system into Google Sheets 
      • Further develop existing support dashboards and reports. Drive deep data profiling and analysis for insights. 
      • Reporting & analysis of programming data and insights for impact measurement and funding support 
      • Management analysis/audit of event setup/breakdown costs to support cost-effective event management
      • Ad-hoc Analytics 
  • Operations
      • Oversee facilities management, including work orders, operations pipeline and projects, vendor communication, and restaurant partner communication, alarm system, video monitoring system, building ops vendor invoicing, capital improvements coordination
      • Manage facilities operations and systems such as: Emon Dmon electrical reporting, SALTO security key card access, HVAC maintenance coordination, WiFi Splash Page, Black Dove art wall, OBM Sign, PT Event Staff system mgmt., 
      • Coordinate and run monthly operations meetings with District Hall stakeholders 
      • Team admin support as needed including ensuring the office and building is fully stocked, maintaining printer and supplies, and markers for clients 
      • Work with Events Sales Manager/Coordinator to ensure event processes and systems are efficient and implement improvements
      • Document processes and improve consistency and uniformity in how our team uses our sales and operations process tools 
      • Oversee employee and event space technology and systems 
      • Support Director with Team Onboarding/Offboarding – Updating documentation and logistics 
      • Support Director with Part-Time Event Staff Hiring Logistics/Coordination 
      • Various office management and admin duties
      • Manage phone calls, general inquiries, Streak, and Zapier processes
      • Website maintenance as required using WordPress
  • Additional Responsibilities 
    • Participate in Monthly Innovation Hall Calls with broader Venture Café Global Teams 
    • Occasional staffing of our programs and events – set up/breakdown, etc.

  • 4 Year college degree & 1-3 years of experience 
  • Detail-oriented and organized with solid time management skills
  • Microsoft & Google Office Suite with Intermediate to Advanced applied experience in Excel/Google Sheets –  Minimum level would be ability to execute: VLookup, Pivot Tables/Charts with Nested logic/IF Formulas, basic knowledge of array formulas a plus
  • Ability to quickly translate ambiguous business requirements into analytical insights
  • Confidence in understanding the nuances of written and verbal communication
  • Project Management skills 
  • Excellent written communication skills and keen editorial eye
  • Ability to work independently as well as part of a team is critical
  • Strong interpersonal communication skills including the ability to collaborate with internal and external teams, program participants, community, and staff
